Managing Your Videos

After you have recorded or uploaded your videos to Panopto, they will be available to you in one of your online Panopto folders. From there, you can share your videos, change their availability settings, copy or move them between folders, and much more. This page covers the basics of managing your videos in Panopto.

Accessing Your Recorded Videos

After videos have been recorded, they will appear in one of your Panopto folders.

Checking the Availability of Your Videos

Default availability and sharing permissions of videos
Folders in Panopto are set up with default sharing and access permissions:
  • MyFolder is always set up to be private to the individual.
  • A course folder is set up to have two specific access groups: a creator group (course instructors) and a viewer group (students). Membership to these groups is automatically pulled from the Blackboard course enrolment.
  • Any recordings or subfolder created within the course folder will by default inherit these same permissions.​
Viewing videos available in a Blackboard course
  • Any videos that have been saved to the VStream course folder (including scheduled recordings, recordings made in VStream or videos uploaded to VStream) will by default be automatically available to students. 
  • To see which videos are in the course folder, simply click on the 'VStream Videos' or 'Ataata Vstream' link in the relevant Blackboard course menu.

Changing the sharing permissions for your videos or Panopto folders
​Please be careful when looking at changing your sharing permissions and think through who you want to have access to your video. Also think about the content of your video, what is appropriate and whether you have consent to share. If you are uncertain please ask advice before sharing videos.
To change the sharing permissions:

Note: the sharing permissions can be altered for individual videos or for an entire Panopto folder.

Overview of the sharing options:​
​Specific People: This option allows you to share the video with specific people as viewers. They would need to be ‘invited’ by adding their email address or be added as a specific group. Only these identified people or groups can access this recording or folder. Course folders are set up with this setting and Blackboard course access groups are listed as specific people.
Anyone at your organization with the link: Choosing this option will enable viewing access for anyone who can log into your Panopto site and has the direct link. This option allows anyone at the University (staff and students) who have been given the link to this recording the option to login and view but not edit. It is not listed in the ‘Everything’ folder for all users to access but there is no sign-in required if you have the link.
Anyone at your organization: This option will enable viewing access for anyone who can log into your Panopto site. This allows any one at the University (staff and students) to find and view this video from the ‘Everything’ listing in Panopto.
Anyone with the link: Choosing this option will enable viewing access for anyone on the Internet who has the direct link, no sign-in is required. This will not be listed in the ‘Everything’ file in Panopto but gives view access to any external people to the organisation.
Public on the Web: Choosing this option makes the video freely available and searchable on the internet. There is no sign-in required and the video will be listed on the ‘Everything’ folder. 
Changing specific availability settings for videos in a course folder
To change availability settings of specific videos in the Blackboard course folder or to make them available to specific students please talk to your Faculty Learning Designer about how to set this up.

How to make recordings unavailable by default in a Blackboard course ​(requiring approval)
To make recordings in a course folder unavailable by default, so that you choose when to make them available to students, you can change the settings of the course folder.
To change the course folder settings:
  • Click on the settings cog icon in the top right hand corner (see below), and a pop up window will open.
  • Choose settings from the menu on the left.

  • Scroll down to Availability and select 'when approved by a publisher'.
  • Now, once a recording is made it will show in the course VStream folder as waiting for approval.
  • To make a recording visible to students, open the settings for that video and select Approve and save, in the Overview section.​

How to change the download availability of your videos
The default for the University is to allow students to be able to download a podcast version of recordings so that they can watch the recordings on mobile devices without requiring a continuous Wi-Fi or network connection. You can change this setting for your course if need be.
To do change the download availability:
  • Go to the 'VStream Videos' or 'Ataata Vstream' link in the Blackboard course menu.
  • Click on the settings cog icon in the top right hand corner (see below), and a pop up window will open.
  • Select Settings from the menu on the right and change the drop-down option for Downloads to be Admins, videographers and Creators only.

Copying, Moving & Deleting VStream Videos

To copy, move or delete a video
  1. Hover your cursor over the video and select the video by ticking the small box in the top left of the video thumbnail
  2. A control bar of options will pop-up along the top of the Panopto window
  3. Select 'Delete', 'Copy' or 'Move', depending on what you are wanting to do
  4. If you are copying or moving the video to a different folder, a pop-up window will appear asking you to select the folder that you want to copy or move the video to. Find the desired folder by using the drop down menu or search in the search bar
Note: to copy, move or delete multiple videos at a time, simply select multiple videos at once using the tick box function.
